Administrative Assistant Global Marketing


Schedule appointments, give information to callers, take direction, and otherwise relieve officials of clerical work and minor administrative and business detail.

Include the following:  

  • Read and route incoming mail.  Locate and attach appropriate file to correspondence to be answered by employer.  
  • Compose and maintain file system, and file correspondence and other records
  • Answer and screen Senior VP’s telephone calls, and arrange conference calls
  • Coordinate Senior VP’s schedule and make appointments
  • Greet scheduled visitors and conduct to appropriate area or person
  • Arrange and coordinate travel schedules and reservations
  • Conduct research, and compile and type statistical reports
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings
  • Make copies of correspondence or other printed materials
  • Order and maintain supplies, and arrange for equipment maintenance
  • Ability to meet physical demands of job
  • Coordinate meals as demanded
  • Other duties may be assigned.


  • High School Diploma or General Education Degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
  • Proficient in Microsoft Office and Google’s equivalent (Docs, Sheets, Slides)
  • Read and interpret documents such as safety rules, operating and maintenance instructions, and procedures
  • Ability to speak professionally and represent the executive in an exceptional manner
